Time management is a skill that needs time to know, master and begin to work at! Ultimately, time management will give you the extra time you need to be able to enjoy what is most important for you! Every day has just 24 hours - and this is universal. People are constantly in pursuit and pushed by time. This article is about how to manage our time more effectively. In reality we cannot manage time, we can only manage ourselves with relation to time. After all, how we utilize our time is largely a matter of habit which are not that easy to change

 

How to about time management?

To organize and manage our time, we need to clarify what are our objectives, identify what to organize know where we want to be and be ready to accept the possible changes.

Normally we tend to do/face these problems:

  • Interruptions from others (telephone calls - visits)
  • Doing work that is assigned to others
  • Indecision
  • Lack of adequate information about what is to be done
  • Unclear priorities
  • Lack of planning
  • Stress and tiredness
  • Inability to say «no»
  • Lack of organization in surroundings, and that also disrupt you
  • Lack of flexibility - very tight, rigid and unrealistic planning, etc. are some factors that have the ability to swallow your time! 

 Additional wrong perceptions

  • 'Leave it for one more day', never mind we will do everything tomorrow
  • I can perform better under pressure
  • When others are delayed, why not me?
  • I cannot start something if I do not know exactly how to finish it
  • I want to be free, I cannot be under pressure
  • I cannot deny to help to others
  • Better to do everything myself, I have to be in control
  • I do not have enough time to deal with the organization and management of my time.

16 tips to manage time in better way

16 tips that will help to manage our time better.

1. Keep a weekly log. Establish routines and stick to them as much as possible.

  • Keeping a weekly log of activities, recording for 2 -3 weeks everything you do per hour when awake, how much time you allocated for everyone, how much time you did nothing special or important, how much time you rest, sleep, eat etc.

2. Clear out obligations

  • Locate the points on which some changes could be made and which of these are actually obligations and responsibilities.

3. Indentifying deadlines

  • Make an initial list of what has to be done and when it must be completed
  • Divide the activities per day / week.
  • Make short term and long-term goals, to get a clear picture of what has to be done and when.

4. Personal and social activities

  • The activities and objectives should also include personal and social activities, such that the program should cover all the needs.

5. Organizing goals/Create time management goals.

Implement a time management plan. Get in the habit of setting time limits for tasks. Goals can be organized based on degree of urgency and importance.     Starting from the most important and most urgent.

  • To be done today - tomorrow, etc.,
  • To be done at 'that date'. Set a date.
  • Can it be postponed for so many days,
  • Can I ask someone else to do it

  • Delegate your tasks but remember few things: When delegating something to someone else, you need to decide what is it, who is best qualified to undertake it, what information should you pass, but undertake the responsibility together and know that it will not be executed as exactly how you would have done it.

  • Avoid procrastinating. Prioritize your work list. Locate deadlines, expiry items, etc.

  • Make a list of everything you think that that are not helping / benefiting you and avoid doing those activities!

  • Concentrate only on one goal at one time.

  • Opt to create a suitable environment to work, the one that fits your way.

11. Try to be realistic

  • Make sure that your objectives are realistic and not impossible.

  • Include in your program (schedule) unpredictable items and situations (e.g. problems with the computer): keep extra time allowance to adjust your program if necessary.

  • If what you have to complete is boring, find motivation: consider the advantages when you finish.
  • Learn to like the feeling of satisfaction, relief and freedom that you will get when you complete this obligation.
  • You can have your self under control!
  • Do not underestimate the boring obligations (eg home cleaning and other tasks related to running your home). When neglected they may become a mountain!

14. Learn to say "NO"

  • Learn to say “no” in other activities, requests, people who eat (utilize) your time (unless it is genuine).
  • You can turn off your phone and lock the door, to avoid unnecessary interruptions from others.

15. Utilizing your capabilities

  • Use your biological rhythms to guide you: locate and utilize the hours of the day you're most active and fruitful, rather than when you are down.

16. Compromise

  • Give yourself the right and excuse that not all the days you may be productive. You will have the change to be more productive on some other day.
